Recruitment Privacy Notice

How we use your application, video interview recordings and answers.

Who this notice is for

Anyone who applies for a role, traineeship, agent or franchise opportunity with Kairos-K LTD, including through our video interview platform.

What we collect

  • Your CV, contact details, education, work history and references.
  • Video and audio recordings of your answers, your written and situational tasks, and the time you spend on them.
  • Notes and scores from the people who assess you.
  • Right-to-work documents if we make you an offer.
  • Any information you choose to share about adjustments you need. We use it only to make the adjustments.

Why we use it, and our lawful basis

  • To assess your application and decide whether to offer you a role: steps at your request before a contract, and our legitimate interests in hiring fairly and well.
  • Right-to-work checks: legal obligation.
  • Recording your interview: legitimate interests, so that more than one person can assess you fairly and consistently. Before you start, we ask you to confirm that you understand and agree to the recording.

We do not make hiring decisions by automated means alone. A person reviews every interview.

Who sees it

  • The Kairos-K hiring team and managers involved in the decision.
  • Partners in the Kairos-K network involved in hiring for their unit, only for roles in that unit.
  • Syntegrum, our video interview platform, which hosts the interview and processes data on our instructions under a data processing agreement.

How long we keep it

  • Unsuccessful applications and recordings: 6 months after the decision, so we can answer questions or claims, then deleted.
  • If you ask us to keep you in mind for future roles: up to 12 months, with your consent.
  • If you join us, the relevant data moves to your staff file.

Your rights

You have the same rights as in our Privacy Notice, including access to your recording and the right to object. Contact office@kairos-k-practice.com. You can complain to the ICO at ico.org.uk.
